Description
The Document Specialist is responsible for supporting the company with proper organization and management of documents and records. This role ensures that all files — including contracts, agreements, internal forms, and correspondence — are accurately archived, stored, tracked, and easily retrievable when needed.
Key Responsibilities
- Maintain and update document records in physical and electronic filing systems
- Track document versions and ensure only approved and up-to-date files are used
- Support archiving activities and ensure proper labeling and categorization
- Assist with scanning, uploading, and distributing documents to relevant teams
- Ensure documents are stored securely and in alignment with company procedures
- Provide general administrative support to the department as required
Requirements
- Good organizational skills and attention to detail
- Ability to follow established processes and maintain confidentiality
- Basic computer literacy (email, MS Office, shared drives or document systems)
- Strong communication skills and ability to work with multiple departments
- Previous administrative experience is an advantage, but not mandatory
