Description

The Document Specialist is responsible for supporting the company with proper organization and management of documents and records. This role ensures that all files — including contracts, agreements, internal forms, and correspondence — are accurately archived, stored, tracked, and easily retrievable when needed.

Key Responsibilities

  • Maintain and update document records in physical and electronic filing systems
  • Track document versions and ensure only approved and up-to-date files are used
  • Support archiving activities and ensure proper labeling and categorization
  • Assist with scanning, uploading, and distributing documents to relevant teams
  • Ensure documents are stored securely and in alignment with company procedures
  • Provide general administrative support to the department as required

Requirements

  • Good organizational skills and attention to detail
  • Ability to follow established processes and maintain confidentiality
  • Basic computer literacy (email, MS Office, shared drives or document systems)
  • Strong communication skills and ability to work with multiple departments
  • Previous administrative experience is an advantage, but not mandatory
